Decide whether the file should be transferred
Confirm that you have permission to share the file and that the recipient is authorised to receive it. Remove information the recipient does not need, especially hidden spreadsheet columns, document revision history, photo location metadata and exported account data. Scan unfamiliar files with reputable security software before sending or opening them.
For highly sensitive material, place the files in an encrypted archive using a strong password. Send the archive password through a different channel from the transfer code. HubTransfer's HTTPS connection protects data in transit to the service, but separate file-level encryption gives you another layer that remains with the file.
Treat the code like a temporary secret
A five-character code is convenient for a quick hand-off. Do not publish it publicly or reuse it as a password. Share it directly with the intended person, confirm their identity and ask them to begin promptly. If you suspect the code reached the wrong person, do not continue sharing it; create a new transfer from your original copy.
Links contain the same access information as the code. Avoid link shorteners and public group messages for confidential transfers. On shared screens, close screenshots or clipboard managers that may retain the code.
Protect both endpoints
Security does not end when the download completes. Use devices with current browser and operating-system updates. Avoid public computers for confidential files, and be cautious on open Wi-Fi. The recipient should choose a private download location, verify the file name and type, and delete unnecessary copies from shared download folders.
HubTransfer deletes a cloud transfer after the first successfully confirmed download, with a normal 30-minute fallback expiry. That removal does not delete the sender's original, the recipient's downloaded copy, browser history, message history or backups made by either device.
What temporary sharing can and cannot do
| Temporary sharing helps with | It does not replace |
|---|---|
| Reducing how long a cloud copy remains available | Permission from the file owner |
| A quick one-recipient hand-off | End-device security and malware scanning |
| Avoiding permanent public links | File-level encryption for highly sensitive records |
| Removing the transfer after confirmed receipt | Secure deletion of copies on sender and recipient devices |
Report suspected unlawful or abusive transfers through the HubTransfer reporting page.
